SCOPE:

The legal assistant plays a pivotal role in supporting attorneys and legal proceedings within UAIC. This position involves a diverse range of responsibilities, including email management, calendar coordination, document preparation, and communication with external parties such as opposing counsel, court personnel, and clients. As a legal secretary for our House Counsel department, you will ensure the smooth functioning of legal operations by meticulously managing deadlines, organizing case materials, and facilitating efficient communication between internal and external parties. This position offers a remote work arrangement, allowing the ideal candidate to work from their preferred location within the Southeast region.


DUTIES:
  • Check and respond to urgent emails daily, including HC Service Emails, Attorney's emails/requests, and OC's emails/requests.
  • Maintain and organize attorneys' calendars on a daily basis.
  • Ensure timely receipt of Notices of Hearings/Depositions for Plaintiff's events.
  • Confirm hearings using CourtMap/CMS/JACs websites as per county-specific procedures.
  • Manage Discovery/Sanctions Hearings and ensure compliance with Time Matters.
  • Coordinate Plaintiff's and Defendant's Depositions, including serving notices and obtaining Zoom information from opposing counsel.
  • Monitor court dockets for FWOP Hearings and take appropriate action based on case activity.
  • Coordinate dismissals for settled/VD/Resolved cases based on court filings.
  • Liaise with OC to file necessary dismissal documents, if any, and confirm hearings are cancelled.
  • Confirm adjuster depositions in advance, ensuring receipt of Notices of Deposition.
  • Facilitate communication between adjusters, attorneys, and court reporters.
  • Review calendars the day before all scheduled events to ensure they will proceed as planned.
  • Handle order submissions via Court Map/CMS websites upon approval.
  • Merge and prepare various legal documents, including Notices of Hearings, Motions, and Agreed Orders.
  • Manage e-filings, ensuring accuracy and completeness of documents.
  • Handle scheduling of hearings, depositions, mediations, arbitrations, and trials based on court procedures and deadlines.
  • Respond to OC's emails/requests promptly, scheduling hearings and coordinating events.
  • Coordinate meetings between adjusters and attorneys for file discussions.
  • Maintain thorough documentation in case management systems (TM) for all actions taken.
  • Follow up on pending tasks, ensuring timely completion and compliance with court requirements.

EDUCATION:
  • Bachelor's degree or equivalent experience in legal administration preferred.

SKILLS & EXPERIENCE:
  • Minimum 1-2 years’ experience in an administrative role preferred.
  • Proficient in MS Office suite.
  • Familiarity with legal case management software (Time Matters, CourtMap, etc.) a plus.
  • Excellent organizational and time-management skills.
  • Strong attention to detail and accuracy.
  • Ability to multitask and prioritize tasks effectively.
  • Excellent communication and interpersonal skills.
