SCOPE:

The Third-Party Legal Assistant at UAIC plays a crucial role in supporting our legal team by managing third-party claims and litigation processes. This position requires a highly organized and detail-oriented professional with a strong understanding of legal procedures, particularly in the property and casualty insurance sector. The Legal Assistant will be responsible for communicating with the insureds and setting a reasonable expectation as to the scope of the legal representation, verifying information, and emphasizing the importance of the insured’s cooperation with the third-party legal team and draft letters memorializing the conversation. Work with the court to waive in person pretrial conferences. Prepare, draft, and file documents, discovery, coordinate schedules, maintain case files, and ensure compliance with regulatory requirements. By providing essential administrative and legal support, the Legal Assistant helps to facilitate efficient and effective case management, contributing to the overall success of the legal department. DUTIES:
 
  • Assist attorneys in managing third-party claims and litigation from inception to resolution.
  • Gather, organize, and analyze relevant information and documentation related to cases.
  • Maintain and update case files, ensuring all documents are accurately filed and easily accessible.
  • Communicate with the insureds and setting a reasonable expectation as to the scope of their legal representation, verify information, and emphasize the importance of the insured’s cooperation with the third-party legal team; drafting letters memorializing the conversation.
  • Prepare and file legal documents, including pleadings, motions, subpoenas, and discovery materials.
  • Draft correspondence, memos, and other legal documents as required.
  • Ensure all documents are properly formatted, free of errors, and comply with court requirements.
  • Conduct legal research using various tools and databases.
  • Compile findings to support case strategy and decision-making.
  • Summarize case law, statutes, and regulations relevant to ongoing cases.
  • Coordinate and schedule depositions, hearings, meetings, and other legal proceedings.
  • Work with the court to waive in person pretrial conferences.
  • Ensure all parties, including clients, claimants, opposing counsel, and court personnel, are informed and prepared.
  • Monitor and manage deadlines for filings, discovery responses, and other critical case milestones.
  • Communicate with clients, claimants, and opposing counsel to facilitate case progression and resolution.
  • Respond to inquiries and provide updates on case status.
  • Liaise with court personnel and other stakeholders as necessary.
  • Review and summarize medical records, accident reports, and other pertinent documents.
  • Analyze and compile evidence and documentation to support legal arguments.
  • Organize and maintain documentation for easy retrieval and reference.
  • Assist attorneys with trial preparation, including organizing exhibits, witness lists, and trial notebooks.
  • Coordinate with expert witnesses and other key individuals involved in the trial.
  • Ensure all trial materials are ready and accessible for courtroom proceedings.
  • Ensure compliance with company policies, legal standards, and regulatory requirements.
  • Maintain accurate records of all legal activities and communications.
  • Assist with the preparation of reports and documentation for internal and external audits.
  • Stay current with legal procedures, regulations, and industry trends relevant to property and casualty insurance.
  • Participate in continuing education and professional development opportunities.
  • Contribute to team knowledge-sharing and process improvement initiatives.
  • Provide general administrative support to the legal department.
  • Assist with special projects and other duties as assigned by the Legal Manager/Supervisor.
  • Maintain confidentiality and handle sensitive information with discretion.

EDUCATION:
  • Bachelor's degree in legal studies or equivalent experience in legal administration preferred.
  • Certification as a Paralegal from an accredited program.

SKILLS & EXPERIENCE:
  • Minimum of 2 years of experience as a legal assistant or paralegal.
  • Experience in insurance defense or working within an insurance company's legal department.
  • Familiarity with state and federal court procedures and e-filing systems.
  • Knowledge of property and casualty insurance policies, coverage, and claims handling.
  • Strong knowledge of legal terminology, procedures, and documentation.
  • Proficiency in legal research tools and software.
  • Excellent written and verbal communication skills.
  • Exceptional organizational skills and attention to detail.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and legal case management software.
  • Strong interpersonal skills with the ability to work collaboratively as part of a team.
  • High degree of professionalism and discretion in handling confidential information.
